Renting Office Space in Johannesburg: Move or Renew in 2026?

Johannesburg’s office market continues to offer choices, but deciding whether to relocate requires more than comparing rentals. Here is how to assess your renewal offer, calculate the cost of moving and choose premises that suit your business.

Renting Office Space in Johannesburg: Move or Renew in 2026?

An approaching office lease expiry gives your business a chance to reassess its premises. Does the space still suit your team? Is the location convenient? And would moving deliver enough value to justify the expense?

In Johannesburg’s uneven office market, those questions deserve a fresh look. Renewing may offer continuity and save relocation costs, while moving could provide a better layout, a more convenient address or a smaller monthly commitment.

The right decision starts with comparing the full cost and practical benefits of both options.

What is happening in Johannesburg’s office market?

FNB’s second-quarter 2026 commercial property research describes office demand as selective, with interest focused on modern, well-located buildings. It also identifies Johannesburg and Tshwane as weaker office markets than Cape Town, with elevated vacancies continuing to affect conditions.

For businesses considering office space to rent in Johannesburg, this provides useful context. There may be alternatives worth investigating, but conditions across the city will not necessarily reflect the availability or pricing in your preferred building.

The practical approach is to assess your renewal offer against suitable premises available at the time of your search.

Start with the space your business actually needs

Before discussing rental terms, review how your existing office performs during a normal working week.

Consider how many employees attend on busy days, which meeting rooms are regularly used and whether clients visit frequently. Identify areas that sit empty, as well as spaces where staff struggle with noise, privacy or overcrowding.

A business with a hybrid working arrangement might benefit from a smaller office with better meeting facilities. Another company may need more desks, improved client reception or additional parking.

Use those requirements to create a brief for your property search. This helps you compare offices according to how well they support your operation.

Compare the full monthly occupation cost

A rental advertised per square metre does not tell you everything about the monthly commitment.

Ask for a written breakdown covering the rental, operating charges, parking and separately billed services. Establish how electricity and water are charged, whether backup power attracts additional costs, and which amounts exclude VAT.

Apply the same approach to your renewal proposal. Check the proposed escalation, deposit requirements and any changes to charges or services.

A smaller office with a higher rental per square metre could still cost less overall. Equally, an attractive advertised rate may become less competitive once parking and other charges are included.

Compare both the first year’s cost and the expected commitment over the proposed lease period.

Work out what moving will cost

Relocation expenses can absorb a substantial portion of any rental saving.

Your budget may need to include alterations, furniture removal, signage, internet installation and reinstatement of the premises you are leaving. Check your current lease to establish your obligations when handing the office back.

Allow for an overlap between premises if your business needs time to install connectivity, complete alterations and move without interrupting operations.

As an illustration, a move that saves R10,000 a month but requires R240,000 in upfront expenditure would take 24 months to recover that expenditure through those savings alone. That simplified calculation excludes escalations, financing costs and other differences, but it shows why the headline rental saving needs context.

Assess the landlord’s contribution carefully

When comparing offers, ask whether the landlord will contribute towards alterations or provide an agreed occupation period for fitting out the premises.

Establish exactly what is included, when the space will be available and who must complete each item of work. Confirm whether any allowance covers your intended layout and whether costs above that allowance will fall to your business.

Record agreed contributions and concessions in the lease documentation. An incentive is useful when it reduces an expense your business would otherwise incur.

When does renewing make sense?

Renewing deserves serious consideration when your office works well, your location remains convenient and the proposed terms compare favourably with alternatives.

It may also be practical where your business has invested in a fit-out that would be expensive to reproduce.

A renewal discussion can cover more than rental. Depending on the property and the landlord’s agreement, you could explore maintenance work, changes to parking, improvements to the premises or a different space within the same building.

When is relocating worth considering?

Moving becomes more compelling when the existing premises create ongoing operational problems.

These could include an unsuitable layout, insufficient parking, difficult staff access or too much unused space. A relocation may also make sense where an alternative offers a measurable improvement in total cost or functionality.

Inspect shortlisted offices with your day-to-day needs in mind. Confirm connectivity options, access arrangements, backup services and the condition in which the premises will be handed over.

Give yourself time to compare your options

Check your lease expiry date, renewal provisions and notice requirements before starting negotiations. Leave enough time for viewings, cost comparisons, lease discussions and any work needed before occupation.

The strongest decision is one you can explain clearly: what your business will spend, what it will gain and how the premises will support the team over the lease period.
